How to administer Datasets on the Gateway
This page is intended to guide dataset administrators through the process of managing datasets you have provided on the NBN Gateway website. Step by step instructions on how to carry out particular administrative tasks are given.
Open Access Objective
The NBN Gateway has been developed to facilitate greater availability and use of data about wildlife in the UK. The Gateway allows you to share wildlife records you hold with the public and partners in a controlled way over the internet. We want you to make your data as available as possible to support not-for-profit decision-making, education, research and other public-benefit purposes.
Dataset Ownership
To make use of the Gateway we ask that you provide a copy of the wildlife data you hold and would like to share with others. We refer to the set of data you supply as a dataset. You retain ownership over the datasets that you provide to us. The Gateway is a data exchange tool and it is important to note that we do not independently maintain or officially archive the data you supply.
Dataset Administration
Once your data have been uploaded to the Gateway we ask that you, the data provider, control their availability using online administration tools. When you submit a dataset to the Gateway we will give you, or someone you appoint, administration rights to use these tools. These tools can be used to manage the level of access that different users and groups have to your dataset (access controls). You can also add and edit descriptions to give context to your data (dataset metadata). The administration functions are described in more detail below.

How to appoint a new dataset administrator
When a new dataset is loaded onto the Gateway we appoint one individual to act as the administrator. This individual is nominated by the data provider. This individual has access to all the online tools available to manage the datasets on the Gateway. To cover absence or departure the original administrator may need to appoint a fellow or replacement administrator. This can be done by following the steps below:

Go to the NBN Gateway data.nbn.org.uk

Click LOG IN/OUT at the top of the page.

Enter your username and password and click LOG IN

Click MY ACCOUNT at the top of the page.

Under the left-hand subtitle Species Datasets click - you manage

In the table Species datasets you manage click manage under Users for the relevant dataset.

Enter the last name of the individual you wish to make an administrator into the Add new dataset users search box and click find user.

In the results table you can find out more about the individual by clicking their name.

If you are happy that you have the right individual click edit next to their name.

In the table Update access for… change to user role to administrator and click set new access. You can add a comment for the individual in the text box if you wish and this will be included in the notification email.
Note: You are not able to remove your own administration rights, but fellow administrators will be able to remove you if you wish.
Dataset Access and Use
We want you to make the wildlife data you supply to us as available as possible to the public through the Gateway in order to meet our objective. However, we recognise that there can be legitimate reasons for controlling access to and use of some wildlife data. We have addressed these concerns in the following ways:
